Board Positions and Responsibilities


The President shall be the chief executive officer of the Corporation and shall subject the control of the Board of Directors, have general supervision, direction and control of the business and affairs of the Corporation. He/She shall be ex-officio a member of all the standing committees, including the executive committee, if any, shall have general powers and duties of management usually vested in the office of President of a Corporation, and shall have such other powers and duties as may be prescribed by the Board of Directors. The President shall also attend all TVYFL meetings and report back to the Board of Directors.

The Vice President shall perform such duties as the Board of Directors shall prescribe. In the absence or disability of the President, the duties and powers of the President shall be performed and exercised by the Vice President. They shall also assist the President in whatever duties are assigned. Also responsible the Pre-Season Jamboree. Contacting other teams and creating an all day event.

The Secretary shall be responsible for the recording and maintaining accurate minutes of all Board of Directors meetings, assist the President in contacting individuals for meetings, and perform other duties as requested by the Board of Directors. This person shall also be responsible create and distribute informational fliers regarding the season. Shall distribute information to Team Moms and/or Head Coach in getting information out to the players and their parents. Also responsible to communicate information to the Web Master.

The Treasurer shall be responsible for keeping all business records as appropriate for the Association, shall be responsible for the funds of the Corporation, is designated to have full care and custody for all disbursements on behalf of the Corporation business, as authorized and directed by the Board of Directors. Shall also be responsible to assist the Registrar in what ever duties are assigned.

The Registrar shall assist the Board with preparation of all Registration Packets. Make necessary copies of all forms to be included for registration. Help with implementation of Registration Night, (tables, packets, etc). Maintain team rosters. Verify player medical releases have been received and assemble player information in Coach’s Books per specific TVYFL guidelines.

The Apparel Sales Director shall prepare and place all special and stock orders with clothing supplier. Pick up and distribute special orders as needed. Organize and schedule coverage with the Volunteer Coordinator for Apparel Sales at all home games. Prepare deposits for the Treasurer. Prepare End of the Season Inventory to be submitted to the Board. Pack up all stock clothing for storage in the container.

The Corporate Solicitation Coordinator shall be responsible to research and compile a list of addresses and names for the solicitation of area Corporate business for the purpose of fundraising on behalf of the association. Solicitation to be done either by letter form, or by phone calls. A special Thank You Letter shall be sent to each business who donates to the association.

The Concessions Coordinator will be responsible to determine what items will be sold. Work with the Volunteer Coordinator to determine staffing for all home games as soon as a schedule is available. Inventory and purchase items for all events. Obtain “Starting Bank” from Treasurer. Check stand throughout the day. Breakdown stand at end of day and clean and organize for next event. Put all inventory back into storage and submit money to the Treasurer.

The Fall Fund Raising Coordinator will be responsible to communicate with the Fund Raising Committee in the selection of the “Fall Fundraiser”. Once the determination has been made, this person shall be the point person for all those involved. Develop time line and communicate “theme” as needed.

The Volunteer Coordinator will be responsible to assemble a data base from Volunteer Forms collected during registration for future use. This person will work closely with all aspects of staffing for Apparel Sales, Concession Stands, and assistance with the Fall Fund Raiser. They will also work with the Scholarship Committee to make sure that those who receive Scholarship’s fulfill their volunteer obligation.

The Coach of Coaches shall be responsible for training and interviewing all potential head coaches and assistant coaches. Shall work with the High School head football coach in setting up training sessions. Shall oversee three of the teams during the season. Will assist Registrar in getting applications submitted.

The Assistant Coach of Coaches shall assist the Coach of Coaches in whatever duties are assigned. Shall oversee at least two teams during the season.

The Cheerleading Coordinator shall be responsible for coordinating all cheerleading activities. He/She will also be responsible for researching and ordering cheerleading uniforms/equipment. This job will require the scheduling of practices as well as games that the squad will be present for. The cheer coordinator will also be responsible for the training of volunteer cheer coaches. Also responsible for approving cheer material making sure that the material is appropriate and safe to perform at games.

The Equipment Manager shall be responsible for handling the inventory and maintenance of all equipment owned by the Corporation. The purchase of new equipment, or the restoration of old equipment must be approved by the Board of Directors. Shall work with the Registrar to make sure that the necessary information is recorded on the application. A complete inventory list should be provided to the Secretary at the end of each season for the purpose of accurate record keeping.

The Assistant Equipment Manager shall assist the Equipment Manager in whatever duties are assigned.

The Member at Large Position shall be someone who is able to float into different positions that might need extra assistance.
